A Memo from Mike:

I recently noticed that the information I presented in the February 2004 Student Outlook Mike’s Memo is no longer correct.

Currently to access the online Bulletin, pay dues, and access the Virtual Student Expo, students will need to logon through the Members Only Area of the AAPG Web site.

Here is the drill on logging in:

Your login is your member number without dashes. Ex: 123456

Your password has been assigned by AAPG and we will email you this information if you have forgotten your password or have never used this area of our Web site before. If you need help obtaining your password, please contact me.

Note: The features you will see when you login will reflect your dues status, for instance if you have not paid your dues, when you login you will not be able to access everything. Of course we will provide you with a golden opportunity to pay up your dues.

Also, when using AAPG's site it is important to enable cookies. The site will not work properly without cookies enabled.

Remember to contact me if you are having problems accessing the Members Only area of the AAPG Web site.

Weeks Grant

Well the 2004-05 AAPG L. Austin Weeks Grant has come and gone. Many universities will be benefiting from the $500 that goes to the chapter and $500 that will go to your outstanding student recipients.

This is my second year working with the AAPG Foundation in helping student chapters receive the grant.

While many chapters received the grant, others fell short of the requirements and will not receive the grant.

It seems that the most common requirement that is missed is the last two reports requirement.

There seems to be some confusion here, so let me see if I can help.

I had a student chapter president point out something in an e-mail that may be confusing.

He pointed out that in the Student Chapter Bylaws where it discusses reports it states:

Section IX

ARTICLE 1

The student chapter shall file two reports with AAPG Headquarters. The first report, to be filed in December, shall list the executive committee, committee heads and list of the members in the chapter as of December 1. The second report, due at the end of the school year, will summarize the chapter’s activities for the year, provide a summary of the chapter’s budget and list the officers elected for the following year.

ARTICLE 2

Failure to provide the first report to Headquarters by the end of December will result in forfeiture of the chapter’s membership rebate (Section III, Article 5).

ARTICLE 3

Failure to provide the final report to Headquarters by the end of the school year will result in the chapter being placed on probation. Any chapter placed on probation, which fails to file either of the two reports, is subject to having the AAPG affiliation and attendant benefits revoked.

The confusion is that the Weeks Grant application is due December 1 and according to the requirements the last two reports must be filed with AAPG, then according to the Student Chapter Bylaws the first report is to be filed in December with no real date deadline.

While this is confusing and the Student Chapter Committee plans on addressing this issue at the next AAPG Annual Convention, this is not the main issue.

I would say 98 percent of those applicants that are denied are due to the midyear or "second" report not being filed by the chapter.

Basically for U.S. chapters this is due at the end of the spring semester; the deadline for this is a bit more flexible, anywhere during May and June is fine.

So let’s recap ...

To be eligible for the L. Austin Weeks Grant (report wise):

Send in a report in May or June, then send in your year-end or December report along with the L. Austin Weeks Grant application before December 1. Make sure they are at AAPG before the deadline via mail, fax or e-mail.

Book Gift

The Book Gift for this year ended on November 20, 2004.

After I fielded a couple of questions on the Book Gift, I decided that perhaps I should explain the Book Gift better.

The Book Gift program, from what I can tell, started as a way that student chapters could, through time, build a nice library for the school's students to use.

Many student chapters in association with their geology departments have a student library, and AAPG decided it would like to help students keep a current library by helping students purchase books.

Following are the rules for the Book Gift:

The AAPG Book Gift policy:

To give new student chapters two years from their date of establishment to ask for their one-time book gift of up to $500; and to authorize an additional book gift to active student chapters that respond to their offer every three years.

Basically new chapters can receive the book gift and then existing "Active" chapters can receive it once every three years.

This year the Book Gift was $250, and last year there were not adequate funds to support the Book Gift. I do anticipate there will be a Book Gift for next year so keep monitoring the Student Chapter Web site.

Feel free to ask me questions about the Book Gift, such as: "Are we eligible?" I can check quickly and let you know as well as tell you when you will be eligible again if you currently are not.

Feedback Time

Well, I have been writing this newsletter for a while now and I thought since it is a new year I need to evaluate it:

So, if you could, please help answer these questions:

  1. Is this newsletter useful? Is anyone reading the newsletter?
  2. What topics do I need to cover? I have been addressing things I think you should know, but I really do not know what information you need, so tell me.
  3. How would you like to see it changed? It has been suggested that I e-mail all the student members when I make an update. Is this a good idea, or would my e-mails be annoying spam like Viagra e-mails?
  4. How can I make the Student Chapter program more successful?
  5. Are you aware of all the benefits that student members and student chapters receive? Such as volunteer opportunities at annual meetings, the extremely discounted rates students can get for short courses (man this is really a great deal), etc.

Tsunami

I could not let this issue be posted without commenting on the recent tragedy in Asia.

When I first heard the news, I immediately thought of all the people lost. I thought of people I work with, AAPG members I talked to a few days before and the excellent AAPG student chapters in Indonesia. I thought of a former foreign exchange student in Thailand and I wondered if all the students were okay. I watched the horrific video, I felt grief, I felt sorrow, and then as the days passed, I felt inspiration. I began to hear the stories of countries coming together to help, people giving supplies and money, militaries lending support, and stories of survivors and the ordeals they endured.

I encourage you all to help if you can. I already have received e-mails from students in Indonesia telling me how they are helping, For the other students reading this please see the article that AAPG has posted and help if you can.
